Trek Leader’s Checklist

Early On:

Meet with Scoutmaster/Outdoor advisor

Determine needed Reservations and/or Permits

Trek Plan (travel there, events while on trek, and travel home)

Collect Maps (Road and Trail)

Determine Age, Rank, or Merit Badge prerequisites (if any)

Budget: Permits, gas, food, rentals, etc.

Create Trek signup sheet

       Date and description, Meet/Return time and place

       Cost, what to bring, special instructions

       Trek Leader contact information

       Signup/Permission slip

Provide information to Webmaster for posting in electronic format

Determine Transportation Requirements and Identify drivers

Troop Meeting 1 Month Prior:

Announce signup, have spare sheets

Provide detailed info to Troop of plans made

Solicit Scouts needing advancement requirements

Begin collecting $$$ and Permission Slips

Announce money deadline of two meetings prior to trip

Select SPL if troop SPL is not planning to attend

Troop Meeting 3 Weeks Prior:

Announce signup, have spare sheets

Troop Meeting 2 Weeks Prior:

Collect last of signups and ALL money

Identify food plan (food groups or meal assignments)

Assign who will prep menus for next meeting

Plan/Announce food buy

Determine final Patrol count

Troop Meeting Just Prior:

Make final list of trekkers and adults

Finalize Trek budget – Everyone paid up?

Maps, driving instructions

Night Before:

SPL (or acting SPL) calls PL’s with reminder info for all

Trek Departure:

Drivers

Review driving directions

Arrange re-group points, cell phone numbers as needed

Review plan for snack or meal stops

Scouts

Roll-call

Final equipment review

Travel in Class-A’s

During Trek:

Take notes on what works, what doesn’t

Supervise advancement opportunities

Take photos for troop & newsletter

Have fun! Be safe!

End of Trek:

Review trek with all scouts for lessons learned

Travel in Class-A’s

After Trek:

Reconcile trek expenses

Submit Trip notes and pictures to webmaster
